Classical Preparatory School provides a traditional classical education to scholars from twos through 12th grade. We were the first classical charter school in the state of Florida, located just north of Tampa. A classical/liberal arts education is the educational gold standard for creating innovators, thinkers, and leaders. Classical Prep aims to provide our scholars with the tools needed to excel in higher education and to be moral and intellectual leaders in a self-governing society, something more relevant than ever in today’s complex and ever-changing world.

Position Summary
Classical Prep’s Volunteer and Event Coordinator is a full time role that supports the Community Engagement Manager to allow the academics staff and leadership to focus almost entirely on students and families. The Volunteer and Event Coordinator will therefore be part of a team that embraces innovation and continuous improvement and welcomes the challenge of finding creative ways to work smarter and more cost-efficiently. The Volunteer and Event Coordinator reports to the Community Engagement Manager.

Minimum Qualifications

Duties and Responsibilities

Volunteer Coordination

  • Implements and maintains a wide range of volunteer opportunities that reflect the mission of Classical Prep
    • Recommends the most efficient use of volunteers, appropriate volunteer/administrative mix, and future workforce needs to support volunteer program operations
    • Tracks volunteer hours per family
    • Evaluates all aspects of volunteer program to ensure effectiveness and to recommend/implement changes as appropriate
  • Oversees volunteer software program
    • Plans and coordinates training on the volunteer software and provide ongoing guidance to ensure best utilization of the software
    • Grants permissions as applicable to staff to post volunteer opportunities
    • Keeps family information up-to-date in system
    • Ensures all groups within the software are properly set up and managed
    • Posts school wide opportunities in a timely manner
    • Assigns number of hours to volunteer opportunities in the software
    • Maintains accurate records and provide timely statistical and activity reports
    • Monitors and approve hours submitted by volunteers
  • Recruits, engages and places volunteers
    • Promotes the volunteer program to gain community support by hosting volunteer meetings to encourage participation and sign-ups and provide information about volunteering opportunities
    • Develops and implement effective strategies to recruit the right volunteers with the right skills
    • Schedules all volunteer activity on campus and at community events to support the various areas of academics and operations as needed for events, classroom help, facilities projects, etc.
    • Works with front office staff to ensure all volunteers have completed and are cleared to volunteer
  • Provides ongoing support and guidance for volunteers
    • Act as single point of contact for all volunteer opportunities, questions and communications
    • Refers volunteers to the Community Engagement Manager to resolve grievances and promote cooperation and interest
  • Fosters relationships with Classical Prep staff and families
    • Builds relationships through service and follow up communication
    • Conducts post-volunteer calls, emails, and surveys to track successes, collect data, and identify problems so that relationships are maintained and system improvements can be implemented
    • Communicates with families by sending reminders and thank you’s

Fundraising & Events

  • Assists the Community Engagement Manager with the planning, organizing, promoting, facilitating, and coordinating of Classical Prep fundraising & events including creation and maintenance of annual calendars
  • Assists the front office staff with volunteer and visitor check in for events on campus

Communication

  • Assists with maintenance of social media for the school to promote the mission and vision by creating posts, graphics and researching creative new ways to engage the community through messaging
  • Helps create communication campaigns utilizing and expanding various social media resources and platforms

Time Commitments

  • Hours are  7:30 am – 4:00 pm Monday through Friday
  • Must be flexible and available evenings and weekends as needed for events

Compensation and Terms of Employment
We offer competitive compensation based on experience and performance. This role is an operations position on a 12-month schedule.
